Use interactive Flow actions

The Interactive category contains all actions that need manual input from your side. For example creating returns or item registration. You can still create presets for these actions to make your everyday work a bit easier.
You add the interactive actions to your flows in Flow Studio. Some can be run in Flow Tracker, but most can only be run in Flow Hub.

Special case: “Document”

The interactive actions in the Document subgroup are a special case.
To use these, you must first install plentyBase.

1. Adding an interactive action to a flow

To add an interactive action to a flow, proceed as follows:

  1. Open an existing flow or create a new flow in the Automation » Flow Studio menu.

  2. If the flow is active, deactivate it so that you can edit it.

  3. Identify the flow position where the action is to be carried out.

  4. Open the Actions tab in the left-hand column.
    → The tab with available actions, organised into categories, opens.

  5. In the Interactive group, select the action you want to perform.

  6. Add the action to the flow by dragging and dropping it into the appropriate place in the flow.
    Note: The plus symbols (add_circle) that appear when you drag the action onto the canvas indicate the available points in the flow.

  7. If necessary, configure the additional settings for the action.
    Note: Many actions require additional settings to be configured. In such cases, the additional settings appear in the column on the right.
    For example, decide there what should happen if an error occurs: Should the flow run continue or be aborted?

  8. Click on save Save.

  9. Activate the flow using the Flow active toggle.

  10. Open your new flow in the Automation » Flow Hub menu.

  11. Start the run for the desired order.

  12. In the flow’s execution view, you will be notified of any data that still needs to be added or any inputs that are required.

2. Available interactive actions

The following tables show you which interactive actions are available, what you can do with them, and where they can be performed.

Item registration

Here you registrate all items of the affected orders in the system. Via the search function you can search the items for Barcode, Variation ID, Item ID, Variation number and External item ID as well as order them.

Add order note

Here you add a note to the affected orders.

Display note

Here you add a note to all affected orders that must be confirmed by customers or employees.

Set package weight

Here you add the respective package weight to all affected orders.

Add package number per order

Here you add the respective package number to all affected orders.

Add package number per package

Here you add the respective package numbers for all packages within the affected orders.

Create return

Here you create returns for all affected orders. Select settings on the right to make the process easier.

Additional settings:
Select from the first drop-down list the order status of the affected orders.
Select from the second drop-down list the reason, why the affected orders were returned.
Select from the third drop-down list the item status of the affected orders.
Select from the fourth drop-down list the order items value of the affected orders.

Book return order

Here you book the created returns for the affected orders to the system.

Assign serial number

Here you add the respective serial numbers for all items within the affected orders.

Reorder: Transactions for incoming items

This action allows you to perform transactions for reordered items that have not yet been booked in. For example, you decide which warehouse each item belongs to.

Print document

This action allows you to set up automatic printing of a specific document.
It is important that you have set up a printer configuration.
On the right-hand side, next to the canvas, select the document type you wish to print.
A document of this type must have been generated beforehand.

Save document

This action allows you to set up automatic saving of a specific document.
On the right-hand side, next to the canvas, select the document type you wish to save.
A document of this type must have been generated beforehand.

Save polling file

This action allows you to set up automatic saving of a specific polling file.
On the right-hand side, next to the canvas, select the delivery service provider for which the polling file is to be saved.

This action allows you to set up automatic saving of a SEPA PAIN document.
Select the SEPA PAIN type (SEPA PAIN 001 or SEPA PAIN 008) on the right-hand side next to the canvas.
