Searching for items and storage locations

Pay attention to the requirements

This page requires that you have installed the PlentyONE Warehouse app on an appropriate device. Note the hardware requirements described on the System requirements page of the manual. In addition, make sure that you are logged into the PlentyONE Warehouse app and that you have carried out all necessary steps for initial setup.

PlentyONE Warehouse makes it easy for you to keep an eye on the items, stock and storage locations of your system at any time. The Item search and Inspect storage location functions are available for this purpose. This manual page offers you information on their scope and on how to use them.

1. Item search

Do you want to look for items, display stock or view detailed information on items and variations while on the go or directly at your warehouse? The item search lets you do just that. First, carry out a few settings to determine what the search results should look like. These settings will go into effect when you use PlentyONE Warehouse to search for items later. In addition, you can use multiple shortcuts to quickly carry out additional procedures for items.

2. Assigning rights for the item search

Assign the following rights to users whose roles are not of the type Administrator so that the item search is visible and usable for those users. If needed, also assign the rights for adding barcodes.

Users with roles that are not of the type Administrator can only see certain areas and menus in PlentyONE. This means they only have limited access to the system. Should coworker use the item search in PlentyONE Warehouse they need at least one of the following rights:

  • PlentyONE Warehouse > Item search > See

  • PlentyONE Warehouse > Item search > Add barcode > See

Tip: How to grant rights

Note that only users with roles of the type Administrator can grant rights.

Assigning rights:

  1. Open the menu Setup » Account management » Roles.
    → The roles overview opens.

  2. Click on New (add).
    → The role creation menu opens.

  3. Enter a name for the role.

  4. Make sure that you are using the simple mode. This means that the option Advanced (toggle_off) is not activated.

  5. Assign the rights for the respective area by ticking the check boxes indicated above.
    Note: You can either grant rights for complete areas or limit the rights you grant the user. To only grant limited rights in a certain area, expand the area.

  6. Save (save) the settings.

2.1. Carrying out settings for the item search

With the help of a few basic settings, you can customise the item search in PlentyONE Warehouse so that it fits your needs and workflows.

Pay attention to required rights

By default, the settings described below can only be carried out by users with roles of the type Administrator. If other app users are supposed to see and edit the settings, administrators have to assign the respective rights in the PlentyONE back end. To do so, open the respective role in the Setup » Account management » Roles menu and activate the desired rights for the Settings option in the PlentyONE Warehouse area.

For example, you can determine how many search results are displayed at once or which search fields should be available in which order.

Carrying out settings for the item search:

  1. Log into PlentyONE Warehouse.

  2. Tap on the menu icon () in the top left corner.

  3. Tap on Settings (settings).
    → The settings menu opens.

  4. Tap on Item search .

  5. Carry out the settings for the item search. Pay attention to the explanations given in Table 1.

Number of items to be loaded

Select the number of search results you want to see at once.

Item search fields

Use the toggle buttons to determine which criteria can be used for the item search. The following search fields are available for the item search:

  • Item ID

  • Variation number

  • Variation ID

  • Supplier item No.

  • Name

  • Barcode

  • Tags

Activated () = You will be able to use this criterion when searching for items.
Tip: Tap on and hold (drag_handle) for each activated search criterion and drag it to the desired position to determine the order of the search fields.

Focus on item search field

Do you typically search for items using a specific criterion? Tap on the criterion that you use most frequently. When you search for items later, the cursor will automatically be placed in this field at the beginning. Of course, you can still place the cursor in another search field manually.

Show net stock

Activate this option to display the respective net stock when opening an item from the search results.

| Prioritisation of item names |Tap on this option to determine the order in which the components of item names are displayed. Tap and hold (drag_handle) for each component to adjust the order of the displayed elements.

2.2. Searching for items

Use the item search to access all items that are maintained in your system.

Searching for items:

  1. Log into PlentyONE Warehouse.

  2. Tap on the menu icon () in the top left corner.
    Or: Find the item search tile in the Functions area on the dashboard.

  3. Tap on Item search .
    → The item search opens.

  4. Enter a search criterion e.g. a variation ID.
    Tip: Tap on to reset the data you have entered, if necessary.

  5. Tap on Search ().
    → A list of items matching the search criteria is displayed.

  6. Tap on the desired item.
    → The detail view is displayed.

The detail view consists of the tabs Item information and Stock. If this data is saved in your system, the tabs contain the following data.

  • Item information

  • Stock

  • Variation ID and variation number

  • Item ID

  • External variation ID

  • Attributes

  • Model

  • Tags

  • Properties

    Activate visibility for properties in PlentyONE Warehouse

    Variation properties are only displayed in PlentyONE Warehouse if you activate the visibility Display in PlentyONE Warehouse under Setup » Settings » Properties » Configuration » [Select property] in the PlentyONE back end.

  • Name of the storage location at which the variation is currently stored

  • Warehouse in which the variation is currently stored

  • Quantity (here: physical stock) in which the variation is currently available

2.3. Additional procedures in the item view

After you have searched for an item and opened the detail view of an item, so-called shortcuts are displayed. These shortcuts allow you to handle additional tasks for the item directly. Table 2 contains additional information on the available options.

Opens the view for printing labels for this item. Use this function to quickly and conveniently print labels for an item using your local printer.
Important: This shortcut only works if you have connected the PlentyONE Warehouse app to plentyBase and carried out all necessary settings. If this is not the case, the shortcut is greyed out and cannot be used. For additional information, refer on the Printing labels page of the manual.

Redistribute item

Starts the redistribution for this item. For additional information on the redistribution, refer to the Redistributing items page of the manual.

Book incoming items

icon incoming items

Starts the process of booking incoming items for this item. For additional information on booking incoming items, refer to the Booking incoming items page of the manual.

3. Searching for storage locations

Similar to items and variations, you might want to view information on a specific storage location. For this particular use case, the PlentyONE Warehouse app provides the Inspect storage location function. In addition, you can use multiple shortcuts to quickly carry out additional procedures for storage locations.

Use labels for storage locations

To use the Inspect storage location function most conveniently, create a label for each storage location and place it at the storage location. This way, you can scan the barcode on the label with your device and access the respective storage location easily in PlentyONE Warehouse. Haven’t created labels for storage locations yet? 4. Assigning rights for the storage location search

4.1. Carrying out settings for the storage location search

Similar to the item search, you can customise the storage location search and thus the Inspect storage location function in PlentyONE Warehouse with the help of a few basic settings, so that both fit your needs and workflows.

Use the toggle buttons to determine which criteria should be used if you search for items within the Inspect storage location function.
Activated () = You will be able to use this criterion when searching for items.
Tip: Tap on and hold (drag_handle) for each activated search criterion and drag it to the desired position to determine the order of the search fields.

Focus on item search field

Do you typically search for items using a specific criterion? Tap on the criterion that you use most frequently. When you search for items within the Inspect storage location function later, the cursor will automatically be placed in this field at the beginning. Of course, you can still place the cursor in another search field manually.

Number of items to be loaded

Select the number of search results you want to see at once.

Show net stock

Activate this option to display the respective net stock when opening a storage location from the search results.

Prioritisation of item names

Tap on this option to determine the order in which the components of item names are displayed. Tap and hold (drag_handle) for each component to adjust the order of the displayed elements.

4.2. Searching for and inspecting storage locations

Use the Inspect storage location function to find specific storage locations and access further information, e.g. on items and variations stored on them.

Searching for and inspecting storage locations:

  1. Log into PlentyONE Warehouse.

  2. Tap on the menu icon () in the top left corner.
    Or: Or: Find the Inspect storage location tile in the Functions area of the dashboard.

  3. Tap on Inspect storage location (icon inspect storage location).
    → The storage location search opens.

  4. Enter a search criterion. Use your device to scan the barcode of the storage location label.
    Tip: Tap on to reset the data you have entered, if necessary.

  5. Tap on Search ().
    → The storage location is found and displayed.

The results of the storage location search are always displayed in the same structure. The card on top contains information on the storage location itself. Below, the items currently stored on this storage location are listed. Scroll down in the item list to access more detailed information on the items stored on the storage location. Alternatively, tap on filter_list to carry out a search among those items with the help of specific criteria.

For this search, the criteria determined beforehand in the settings for the Stock details area are available.

4.3. Additional procedures for storage locations

After you have searched for storage locations, a shortcut is displayed for each entry in the list of results. This shortcut allows you to directly print a label for the storage location. Tap on print in the entry for the desired storage location to start printing storage location labels.

Required settings

his shortcut only works if you have connected the PlentyONE Warehouse app to plentyBase and carried out all necessary settings. If this is not the case, the shortcut is greyed out and cannot be used. For additional information, refer on the Printing labels page of the manual.

If you tap on a storage location from the list of results, yet another shortcut is displayed in the detail view. Tap on icon reshelving to reshelve items from the selected storage location. For additional information on reshelving items, refer to the Reshelving items page of the manual.

5. Correcting stock

Have you noticed while inspecting storage locations or searching for items that the item quantities that are currently in stock differ from the stock displayed in the app? Then, you can easily correct this stock using the PlentyONE Warehouse app. The stock is automatically updated in your PlentyONE back end as well.

5.1. Determining visibility of the function in the PlentyONE Warehouse app

Now, assign rights so that the function for correcting stock is visible and usable for the respective users of the PlentyONE Warehouse app.

  • PlentyONE Warehouse > Stock correction > See

Proceed as described below to correct stock.

Correcting stock:

  1. Use the item search or the Inspect storage location function to select an item whose stock should be corrected.
    Or: Scan the item label to open the desired item directly.

  2. Switch to the Stock tab of the item.

  3. Tap on (iso).
    → The Stock correction view opens.

  4. Enter the item quantity that is actually in stock.

  5. Optional: Select a reason for the stock correction from the drop-down list.

  6. Tap on done to finish correcting stock.
    → The stock of the item is corrected.
