Single order picking

Pay attention to the requirements

This page requires that you have installed the PlentyONE Warehouse app on an appropriate device. Note the hardware requirements described on the System requirements page of the manual. In addition, make sure that you are logged into the PlentyONE Warehouse app and that you have carried out all necessary steps for initial setup.

Single order picking allows you to search for specific individual orders and pick the required items for those orders. As soon as you have used the order search integrated in the function to select an order, a temporary pick list is created for this order. This pick list is then displayed in PlentyONE Warehouse and can be processed immediately. This means that you can pick the items for individual orders as soon as possible, without having to generate a pick list in the PlentyONE back end first. As a consequence, your shipping process is much quicker, your entire workflow is simplified and the items are on their way to your customers even sooner!

1. Assigning rights for single order picking

Before single order picking is carried out in PlentyONE Warehouse, make sure that all users without roles of the type Administrator have been assigned the appropriate rights. Otherwise, single order picking cannot be carried out correctly and the stock changes cannot be saved in the PlentyONE back end.

Users with roles that are not of the type Administrator can only see certain areas and menus in PlentyONE. This means they only have limited access to the system. Should coworker use the Single order picking function in PlentyONE Warehouse they need at least one of the following rights:

  • PlentyONE Warehouse > Single order picking > See

Tip: How to grant rights

Note that only users with roles of the type Administrator can grant rights.

Assigning rights:

  1. Open the menu Setup » Account management » Roles.
    → The roles overview opens.

  2. Click on New (add).
    → The role creation menu opens.

  3. Enter a name for the role.

  4. Make sure that you are using the simple mode. This means that the option Advanced (toggle_off) is not activated.

  5. Assign the rights for the respective area by ticking the check boxes indicated above.
    Note: You can either grant rights for complete areas or limit the rights you grant the user. To only grant limited rights in a certain area, expand the area.

  6. Save (save) the settings.

2. Assigning rights for order statuses

Typically, orders that should be processed using single order picking are in specific order statuses. Which statuses are used for this depends on the individual workflow of your company.

To carry out single order picking without errors, you have to assign rights for displaying and editing those exact order statuses in the PlentyONE back end.

Assigning rights for order statuses:

  1. Go to Setup » Account management » Roles » [Select role].

  2. Scroll down to the Access rights area.

  3. Expand the menu entry Changeable order status ().

  4. Activate (check_box) the order statuses that orders usually have.

  5. Expand the menu entry Visible order status ().

  6. Activate (check_box) the order statuses that orders usually have.

  7. Click on Save (save).

3. Carrying out settings for single order picking

Different settings allow you to customise the function for single order picking in PlentyONE Warehouse so that it fits your needs and workflows.

Pay attention to required rights

By default, the settings described below can only be carried out by users with roles of the type Administrator. If other app users are supposed to see and edit the settings, administrators have to assign the respective rights in the PlentyONE back end. To do so, open the respective role in the Setup » Account management » Roles menu and activate the desired rights for the Settings option in the PlentyONE Warehouse area.

For example, you can decide in which order the items for single order picking are sorted. In addition, you can carry out a variety of status settings for scenarios such as error cases and determine how items should be registered.

Carrying out settings for single order picking:

  1. Log into PlentyONE Warehouse.

  2. Tap on the menu icon in the top left corner.

  3. Tap on Settings settings.
    The settings menu opens.

  4. Tap on Single order picking shopping_cart_checkout.

  5. Carry out the settings for single order picking. Pay attention to the explanations given in Table 1.

Setting Explanation

General settings area

Search fields

Use the toggle buttons to determine which criteria can be used when searching for orders you want to process with the single order picking function.
Activated () = You will be able to use this criterion when searching for orders.
Tip: Tap on drag_handle for each activated search criterion and drag it to the desired position to determine the order of the search fields.

Focus on search field

Tap on the search field to which the cursor jumps automatically when the function is opened. If no search field is selected, you have to tap on a search field every time before you can enter a search value.

Sorting

In which order should the order search results be displayed? Select one of the following two options.
Date descending = Orders will be sorted in descending order of the date at which they have been created. Thus, the list starts with the newest order.
Date ascending = Orders will be sorted in ascending order of the date at which they have been created. Thus, the list starts with the oldest order.

Prioritisation of item names

Tap on this option to determine the order in which the components of item names are displayed while you are using the function. Tap and hold (drag_handle) for each component to adjust the order of the displayed elements.

Close pick list automatically

Activate this option to close the pick list automatically as soon as all required items have been picked.

Status area

Source status

Which orders do you want to pick? When you use single order picking later, you’ll see a list of items to pick. This list only includes items from orders that are currently in this status.
Tip: You can manage the order statuses displayed in this drop-down list in the Setup » Orders » Status menu in the back end of your system.

Block status

How do you want to flag orders that are currently being picked? As soon as single order picking with PlentyONE Warehouse has been started, orders are automatically moved to this status. This way, it’s not possible to accidentally start picking the same order twice.
Tip: You can manage the order statuses displayed in this drop-down list in the Setup » Orders » Status menu in the back end of your system.

Success status

Select the status into which orders are moved after they have been successfully processed in single order picking, meaning all required items have been picked.

Error status

How should the app react if something goes wrong? If an error occurs during single order picking, for example because an item cannot be picked, the app will change the status of the order to whatever is selected here. Additionally, a note will be added to the order itself. This note contains more precise information on the item and on the storage location. Later, you can open the Orders » Edit orders menu to search for all orders in this status and then process these orders separately.
Tip: You can manage the order statuses displayed in this drop-down list in the Setup » Orders » Status menu in the back end of your system.

Item registration area

Mandatory item scan

Use this option to determine which rules should apply when registering items during single order picking.
No limitations = Items can either be registered by scanning their barcode or by selecting them manually.
Limit item search = Items without barcodes can be registered via the item search. Items with barcodes must be registered by scanning the barcode on the item label.
Mandatory item scan = All items must be registered by scanning the barcode on the item label. It is not possible to select items manually via the search results.

Number of items to scan individually

If you are registering items via scanning them, you can use this setting to determine how many variations you have to scan individually until the available total quantity is inserted automatically in the field for entering the quantity.
Example: If you enter the number 5 in the quantity field, the total quantity is inserted automatically after you have scanned the variation five times.

4. Carrying out single order picking

After you have carried out the preparatory settings for single order picking and assigned the necessary user rights, you can start using the function.

4.1. Searching for an order

First, search for the order whose items you wish to pick using the single order picking function. To do so, proceed as described below.

Opening a pick list:

  1. Log into PlentyONE Warehouse.

  2. Tap on the menu icon () in the top left corner.
    Or: Find the Single order picking tile in the Functions area on the dashboard.

  3. Tap on Single order picking shopping_cart_checkout.
    → The search menu for orders opens.

  4. Find the desired order. Table 2 contains further information on the available search filters.

  5. Tap on Search ().
    → The filtered search results are displayed.

  6. Tap on an entry to open the order for single order picking.

4.2. Picking items

As soon as you have selected an order, a list of items that have to be picked is displayed in the Open tab. Proceed by fetching the items from the storage locations one after the other. Items that have already been picked can be viewed by tapping on the Picked tab.

For each item, the storage location at which it can be found as well as the required quantity and additional item information are displayed.

Visibility of item images in PlentyONE Warehouse

Are the item images that you have saved in your system not displayed in the item list? In this case, make sure that you have linked the images to the appropriate variations in the PlentyONE back end.

Depending on the setting you have carried out for the option Mandatory item scan, you can scan the items one after another or enter the quantity via the quantity field.

Internet connection required

In general, you can pick items even if you don’t have an active internet connection so that short connection interruptions are not an issue. However, there is one exception: Make sure that your device is connected to the internet before you finish the pick list. If there is no internet connection, the pick list cannot be finished properly, which causes subsequent errors.

4.3. Finishing single order picking

There are two ways of finishing single order picking and simultaneously closing the pick list of an order:

  • Register the items on the list until the message All items picked is displayed. Then, tap on the red check mark on the bottom right.

  • Go to the Settings » Single order picking menu and activate the setting Close pick list automatically. Then, pick list will be closed automatically as soon as you have registered all items during single order picking.
