Amazon Best practice: Order import

This best practice deals with MFN orders (MFN = Merchant Fulfillment Network, i.e. shipment by the seller) and FBA orders (FBA = Fulfillment By Amazon, i. e. shipment by Amazon) that are not imported. We assume that the order import is activated in the basic settings for Amazon.

1. Authorisation has expired or is missing

For PlentyONE and Amazon to exchange data, you need to allow PlentyONE access to your Amazon account. If no access rights are granted, Amazon blocks all requests. As such, PlentyONE can neither retrieve data from nor send data to Amazon.

You grant this access in the menu Setup » Markets » Amazon » Settings. The instructions on how to do this are provided in the table of the setting up an Amazon account section.

Tip: In PlentyONE you cannot see directly whether you have already granted access to your Amazon account. If the connection status of your Amazon account under Setup » Markets » Amazon » New settings shows the status Disconnected, this may be due to API connection problems, but may also indicate a lack of access rights.

An indicator of expired or missing access authorisation is if you receive the error message: Error:Access to Reports.(GetReportScheduleList) is denied for almost all requests. (GetReportScheduleList) is denied for almost all requests. If you set up scheduled reports, then error messages are displayed in the logs or within Setup » Markets » Amazon » Data exchange » Reports.

2. Access rights expired

You can renew the access rights in the Setup » Markets » Amazon » Settings menu. The steps for granting access for the first time and renewing access rights are identical. The instructions on how to do this are provided in the table of the setting up an Amazon account section.

3. An order is missing

In certain situations, you can only obtain missing orders manually. This can be the case if:

  • the token required to use the Amazon interface has expired.

What are tokens?

Tokens are unique, temporary identifiers that are required for secure communication between your system and external services such as Amazon. They ensure that only authorised applications can access your Amazon data. Without valid tokens, no connection to the Amazon interface can be established and therefore no data exchange can take place. To ensure a high level of security, tokens have a limited period of validity and must be renewed regularly.

  • an error has occurred on Amazon’s part.

  • your Amazon account is newly connected to PlentyONE and you want to import orders that were placed on Amazon before this date.

Orders are imported via reports generated by Amazon. These reports contain order data that has either not yet been provided or relates to a defined time frame.

PlentyONE checks every 5 minutes whether a new report is available on Amazon for import. Therefore, it may take several minutes before the requested report is available in your system.
As soon as the report is available, you can download and view it under Setup » Markets » Amazon » Reports » Processing. In this menu you can also see the current processing status of the report.

Note: With this process, no duplicate orders are created.
