Best practice: Reporting partial deliveries to limango

A customer ordered several items at limango, but you do not have all of the order items in stock. However, now you already want to send two items which you have in stock to your customer. This best practice teaches you how to do this and how to inform limango that one or more order items have already been shipped.

In order to ship one or more order items, you first create a delivery order for the order item(s) that should be shipped. Afterwards, create the event procedure Send shipping confirmation to limango.

Create multiple delivery orders

If you want to ship one or more order items, then you have to create at least two delivery orders:

  • one delivery order for the items that should be shipped

and

  • one delivery order for the items that should not be shipped yet

Afterwards, create an event procedure for each delivery order, depending on which procedures should be triggered for the items contained in the delivery order.

How to create a delivery order and an event procedure for the items that should be shipped is described below. Afterwards, create a delivery order and an event procedure for the remaining order items.

1. Creating a delivery order

First, create a delivery order for the order items that should be shipped.

Creating a delivery order:

  1. Go to Orders » Edit orders.

  2. Open the order you want to create a delivery order for.
    → This is the order from which one or more order items should be shipped.

  3. Open the Delivery tab.

  4. Enter the Quantity that should be transferred to the delivery order in the field DelOrdQua (quantity to be transferred to the delivery order).

  5. Click on Create delivery order ().
    → The delivery order is created.

Note: If you want to ship all order items contained in an order - that is, the whole order - then you do not have to create a delivery order. You can simply mark the order as shipped instead.
Delivery orders help you extract individual order items from an order, for example if you want to ship items that are in stock or if you want to cancel individual order items.

2. Setting up an event procedure

Now set up an event procedure to inform limango that one or more order items were shipped.

Note: Make sure that you include delivery orders when you create the event procedure, as you created delivery orders for the order items which should be shipped.

Setting up an event procedure
  1. Go to Setup » Orders » Events.

  2. Click on Add event procedure ().
    → The Create new event procedure window opens.

  3. Enter a distinct name for the event procedure.

  4. Select the event according to Table 1.

  5. Save () the settings.

  6. Carry out the additional settings according to Table 1.

  7. Select the setting Active ().

  8. Save () the settings.

Note: The status in the event procedure below was selected as an example. Select the status that best suits your workflow. To do so, select an already existing status or create a new status.
Note that all order items contained in main orders will also be marked as shipped if you use the recommended events and filters.

3. Example: Creating multiple delivery orders from one order

A customer ordered 5 items on limango:

  • a jeans

  • a red t-shirt

  • a green t-shirt

  • a pair of sunglasses

  • a children’s jacket

The jeans and the two t-shirts are in stock, so you already want to ship them to the customer. The delivery time of the children’s jacket is 3 weeks, so you want to ship it later on. The sunglasses are not in stock, so you have to cancel them.

You need to create three delivery orders from this order because three different event procedures should be triggered.
