Customising the reorder view

On this manual page, you will learn how to customize the overview of your reorders according to your preferences using various views and numerous settings.

1. Compact view vs. list view

In the reorder overview, you can first decide in which view your reorders should be displayed - the compact view or the list view. When opening the Stock » Reorder (Test phase) menu, the compact view is displayed by default. Each time you log in, the view you last used will be opened.

But what is the difference between the two views? While the list view displays one reorder per line with the selected columns, the compact view shows the selected reorder details directly in the overview in a space-saving way.
Decide for yourself which view meets your needs and switch between them as desired.

Switching between the views with a click

At the top right in the reorder overview you can use the button Switch to list view (list) or Switch to compact view (table_rows) to switch between the views at any time. In case you set any filters, these will automatically be transferred when switching views.

1.1. Customising the compact view

You can customize the compact view and determine which information about your reorders should be displayed in the editing mode. Additionally, you can choose the size of the various information fields and, if necessary, add colour highlighting to further visually differentiate the fields.

In the following chapters you will learn how to customise the compact view according to your needs.

1.1.1. Choosing the fields for the reorder overview

First, choose which fields should be displayed in your reorder overview. To do so, proceed as follows.

Choosing the fields for the reorder overview:

  1. Go to Stock » Reorder (Test phase).

  2. Carry out the Search (search) to display reorders.

  3. At the top right, click on Edit view () to edit the compact view in the editing mode.

  4. At the top right of the main window, click on Edit (edit).
    → The editing mode opens.

  5. In the settings on the right, select the fields to be displayed in the compact view by checking (check_box) the options in the Compact view section. You can find further information on the available fields in Table 1.
    Tip: Move (drag_indicator) the selected fields via drag-and-drop to the desired position until they are displayed in the desired order. Specify which information each field should contain.

  6. If you are satisfied with the selected fields, click on Save view (save) at the top right.

  7. Enter a name for the new view and click on Create view.
    → The new view is created.

Do you have admin rights?

Only admin users can create and edit views. If you are not an admin:

  1. Turn to someone with admin rights.

  2. Ask the person to create the necessary views for you and to assign them to your user account.

Supplier address

Displays supplier’s address.

Warehouse

Displays the target warehouse to which the reorder should be delivered.

Tags

Displays the tags that are assigned to this reorder.

Item amount

Displays the quantity of items in the reorder.

Supplier ID

Displays the ID of the supplier.

Owner

Displays the delivery date of the reorder.

Status

Displays the status of the reorder.

Language

Displays the language of the reorder.

Currency

Displays the currency of the reorder.

Invoice total

Displays the invoice amount of the reorder.

External reorder ID

Displays the external ID of the order.

Main document

In case a document has already been created for the reorder, the document number is displayed. By clicking on the number, the document opens.

Ordered date

Displays the date the reorder was placed.

Payment due date

Displays the payment due date of the reorder.

Delivery date

Displays the delivery date of the reorder.

Finish date

Displays the date the reorder was completed.

Custom property (1-5)

Displays the selected custom property. There are 5 fields available.

Cancelled quantity

Displays the cancelled quantity of the items.

Cancelled total

Displays the cancelled value of the reorder.

Open quantity

Displays the open quantity of the items.

Open total

Displays the outstanding value of the reorder.

Incoming quantity

Displays the incoming quantity of the items.

Incoming total

Displays the received value of the reorder.

1.1.2. Configuring fields

For the fields you have chosen, you can make additional settings such as determining the field size, changing the title, or adding a colour highlighting. To do so, proceed as follows.

Configuring fields:

  1. Go to Stock » Reorder (Test phase).

  2. Carry out the Search (search) to display reorders.

  3. At the top right, click on Edit view () to edit the compact view in the editing mode.

  4. At the top right of the main window, click on Edit (edit).
    → The editing mode opens.

  5. Expand the fields (chevron_right) to configure them. Refer to the information given in Table 2.

  6. If you are satisfied with the selected fields, click on Save view (save) at the top right.
    → The changes are saved.

Setting Explanation

Custom field name

Here you can enter another title for the respective field if desired.

Colour highlighting

Optionally select a colour highlighting that will be shown on the left side of the respective field. This can help to visually separate and highlight the fields. If you don’t select a colour, a grey highlight will be displayed on the field by default.
The following fields already have the following highlight by default:
Invoice address = red
Delivery address = red
Contact ID = blue
Main document = blue

Field size (horizontal)

Select how wide the field should be displayed in the overview. Select between the options small, medium and large.
Note: For the fields Tags and Invoice address you can also select the vertical field size.

Only show icon

Select whether only the icon for the field (e.g. for the status) should be displayed.
Note that this setting is only available for specific fields.

Show in header

Choose whether the field should also be displayed in the header of the reorder. Note that this setting is only available for specific fields.

1.1.3. Selecting functions and filter settings

In the editing mode you can also decide which functions and filters should be displayed in the reorder overview. To adjust the settings, proceed as follows.

  1. Go to Stock » Reorder (Test phase).

  2. Carry out the search (search) to display reorders.

  3. At the top right, click on Edit view () to edit the compact view in the editing mode.

  4. At the top right of the main window, click on Edit (edit).
    → The editing mode opens.

  5. At the top right in the Settings section, carry out the settings for the view. Refer to the information given in Table 3.

  6. If you are satisfied with the settings for the view, click on Save view (save) at the top right.
    → The changes are saved.

Default group functions

Choose which group functions should be shown by default for reorders. All remaining group functions will be available in the context menu (more_vert) right next to it.

Default menu functions

Select which menu functions should be displayed for orders by default. All remaining menu functions will be available in the context menu (more_vert) right next to it.

Colour highlighting

Choose whether the header should have the colour of the status, a custom colour, or no colour at all.

Filter

Select in how many columns the selected filters should be displayed in the filter selection. Also select (done) which filters will be displayed in the reorder overview when performing a search.

Autocomplete

Select what should be automatically searched for in the quick search when an entry is made. Set a checkmark (check_box) for all desired options.

Sort by reorders

In the compact view you can sort your orders by the Reorder ID and the Status. To do so, select one of the two options from the Sort by drop-down list and decide whether you want the reorders to be displayed in Descending (arrow_downward) or in Ascending (arrow_upward) order.

1.2. Customising the list view

You can customize the list view and specify in the editing mode which information about your reorders should be displayed.

In the following chapters you will learn how to customise the list view according to your needs.

1.2.1. Selecting functions and filter settings

In the editing mode you can also decide which functions and filters should be displayed in the reorder overview. To adjust the settings, proceed as follows.

  1. Go to Stock » Reorder (Test phase).

  2. Carry out the search (search) to display reorders.

  3. At the top right, click on Edit view () to edit the list view in the editing mode.

  4. At the top right of the main window, click on Edit (edit).
    → The editing mode opens.

  5. At the top right in the Settings section, carry out the settings for the view. Refer to the information given in Table 3.

  6. If you are satisfied with the settings for the view, click on Save view (save) at the top right.
    → The changes are saved.

1.2.2. Configuring columns in the overview

The table columns in the list view can be configured. When opening the Stock » Reorder (Test phase) menu for the first time, the default view of the table is shown. By clicking on Configure columns (settings), you can select the columns that you want to be displayed and also define the order in which they are shown.

Configuring columns

When you have adapted the table once, these settings are saved. You can change the layout any time. A list of the available columns can be found in Table 5. There, you’ll also see which columns are default columns. Default columns are shown when tables are not customised. Proceed as follows to adjust the table.

Configuring columns:

  1. Go to Stock » Reorder (Test phase).

  2. Carry out the Search (search) to display reorders.

  3. In case your are in the compact view, click on Switch to list view (list) at the top right to switch to the list view.

  4. At the top right, click on Configure columns (settings).
    → The Column Configuration window will open.

  5. Select (done) the columns you want to be displayed. Refer to the explanations given in Table 5.

  6. Move (drag_indicator) the columns via drag-and-drop to the desired position until they are displayed in the desired order.

  7. Add or remove columns according to your needs.

  8. Click on Confirm.
    → The settings are saved.

1.2.2.1. Configuring table columns in the reorder overview

The following columns are available for the reorder overview in the list view.

Selection

Allows you to select reorders so you can carry out actions for several reorders at once.
This is a default column.

Reorder ID

Displays the ID of the reorder.
Tip: Click on the arrow next to the column header to sort your reorders by reorder ID.
This is a default column.

Main document

In case a document has already been created for the reorder, the document number is displayed. By clicking on the number, the document opens.
This is a default column.

Tags

Displays the tags that are assigned to this reorder.
This is a default column.

Status

Displays the status of the reorder.
Tip: Click on the arrow next to the column header to sort your reorders by order status.
This is a default column.

Item amount

Displays the quantity of items in the reorder.
This is a default column.

External reorder ID

Shows the external ID of the reorder.
This is a default column.

Currency

Shows the currency of the reorder.

Delivery date

Displays the expected delivery date of the reorder.

Owner

Displays the owner of the reorder.

Warehouse

Displays the warehouse.

Warehouse ID

Displays the ID of the warehouse.

Invoice total

Displays the invoice amount.

Order date

Displays the date the reorder was placed.

Finish date

Displays the date the reorder completed.

Payment due date

Displays the selected payment due date.

Supplier ID

Displays the ID of the supplier.

Supplier

Displays the supplier.
This is a default column.

Open quantity

Displays the open quantity of the items in the reorder.

Cancelled quantity

Displays the cancelled quantity of the items in the reorder.

Incoming quantitx

Displays the received quantity of the items in the reorder.

Open total

Displays the outstanding value of the reorder.
This is a default column.

Cancelled total

Displays the cancelled value of the reorder.

Incoming total

Displays the received value of the reorder.

Actions

Displays further actions (more_vert) that are available for this reorder.
This is a default column.
