refurbed (Setup via Accounts)

The marketplace refurbed offers renewed products at a reduced price that are more sustainable than new products. This includes for example mobile phones, laptops, tablets or smartwatches.

Open beta phase

The refurbed integration is currently in the open beta phase. If you want to register, send an email to seller@refurbed.com.

1. Becoming a seller at refurbed

Send an email to seller@refurbed.com in order to register as a seller so you can offer your products on refurbed. Afterwards, you will receive your access data that are required for the setup in PlentyONE.

2. Frequency of data exchange

After you have set up refurbed in PlentyONE, data is exchanged with the market in the intervals described in Table 1.

4. Setting up refurbed in PlentyONE

First, create an account and then carry out the channel settings to set up refurbed in PlentyONE. To do so, proceed as described in the following chapters.

4.1. Creating an account

In the Sales Channels » Accounts menu, create an account for refurbed.

Creating an account:

  1. Open the Sales Channels » Accounts menu.

  2. Click on Create account (add).
    → The window Create account opens.

  3. Select refurbed from the drop-down list Platform.

  4. Select the Client (Shop) from the drop-down list.

  5. Enter a name for the account.

  6. Click on add CREATE.
    → The account for refurbed is created.

4.2. Account overview

In the Sales Channels » Accounts menu, you can create your refurbed account. In addition, you can find an overview of the account here.

Accounts can have the following connection statuses:

  • Connected (bigtop_updates) = The account is connected to the sales channel.

  • Disconnected (signal_disconnected) = The account is not connected to the sales channel.
    Note: If the account is Disconnected, this may be due to missing or incorrect basic settings for the sales channel.

4.3. Carrying out the channel settings

Next, carry out the channel settings for refurbed.

Carrying out the channel settings for refurbed:

  1. Open the Sales Channels » Accounts menu.

  2. Click on the tile for refurbed.
    → The tab Channel settings opens.

  3. Carry out the settings. Pay attention to the explanations given in Table 4.
    Note: You can only carry out the settings in the General, Orders, Shipping zone and Shipping label creation sections once you have correctly entered the token that you received from refurbed in the CONNECT section and clicked CONNECT.

  4. Save (save) the settings.

Orders

Order import

Activate the order import (toggle_on) to import orders from refurbed in PlentyONE.
For the order import, can optionally select a start date and start time. This is especially helpful if you have used the refurbed plugin before and now want to change to the marketplace integration. By using these settings, you can import your orders starting from the time of the change.

Assign VAT rates via PlentyONE

Activate this option if VAT rates should be calculated by PlentyONE based on the variations contained in the order during order import. This will overwrite the VAT rate set by refurbed.
This option is deactivated by default. This means that by default, refurbed orders are imported into PlentyONE using the VAT rate set by refurbed.

Importing returns

Activate the import of returns (toggle_on) to import returns from refurbed in PlentyONE.
In the Status for confirmed refunds field, you can optionally select a status for orders that have been refunded.

Shipping region

AfterShip carrier

Select an AfterShip carrier from the drop-down list.

Shipping label creation
The settings in this section are required if you want to use the shipping service provider Refurbed Shipping to ship your items.

Warenhouses
Delivery address

Map your PlentyONE warehouse to the corresponding refurbed delivery address.
Note: You can obtain the refurbed delivery address from your refurbed account manager. It is required for shipping label creation.

4.4. Adjusting the general settings

In the General settings tab, you can edit the account name.

Changing the name:

  1. Open the Sales Channels » Accounts menu.

  2. Open the account for refurbed.

  3. Open the settings General settings menu.

  4. Enter the name.

  5. Save () the settings.

4.5. Activating the account

In the Sales Channels » Accounts menu, activate the account to enable the data exchange with refurbed.

Activating the account for refurbed:

  1. Open the Sales Channels » Accounts menu.

  2. Click More (more_vert) in the tile for refurbed.
    → A drop-down list with further options appears.

  3. Select the Activate account (toggle_on) option from the drop-down list.
    → The account is activated and data can be exchanged with refurbed.

4.6. Deleting an account

In order to delete an account, proceed as follows. Note that only inactive accounts that do not have any orders connected can be deleted.

Deleting an account:

  1. Open the Sales Channels » Accounts menu.

  2. Click More (more_vert) in the tile for refurbed.
    → A drop-down list with further options appears.

  3. Select the Delete account (delete) option from the drop-down list.
    → The window Delete account opens.

  4. Click DELETE ACCOUNT (delete) in order to confirm the deletion.
    → The account is deleted.

4.7. Activating the order referrer

Go to Setup » Orders » Order referrer to activate the order referrer. This ensures that orders are assigned to the correct sales channel.

What is an order referrer?

An order referrer tags an order with the sales channel on which the order was generated. Sales channels can be e.g. your online shop or markets on which you sell your items. Each sales channel has an individual order referrer. Some order referrers are available by default in your PlentyONE system. Further order referrers are added e.g. if you install a new plugin. For further information about the order referrer, see the page Order referrer of the PlentyONE manual.

Activating the order referrer for refurbed:

  1. Go to Setup » Orders » Order referrer.

  2. Click Search (search).

  3. In the list, navigate to the option refurbed with the ID 183.00.

  4. On the right of the referrer’s line, click Edit (edit).
    → The window Edit referrer opens.

  5. Activate the option Visible in selection (toggle_on).

  6. Click SAVE (save).
    → The referrer is active.

Change to new referrer required for plugin users

If you are already using the refurbed plugin and you want to change to the marketplace integration, it is required to use the new referrer.

5. Order processing

This chapter first provides an overview of the order and return workflows for refurbed. It then covers features for shipping and return tracking.

5.1. Workflow of an order

  • Your items are listed on refurbed.

  • Customers place an order on refurbed.

  • The order is imported in PlentyONE and already contains all data.
    Note: Orders with differential taxation are imported with a VAT rate of 0%
    Tip: You can optionally accept orders via flow or event procedure or reject them via flow or event procedure. If you don’t use a flow or event procedure, orders are accepted automatically.

  • The order is shipped.

  • The shipping confirmation must be sent to refurbed by flow or event procedure.

  • The invoice must be uploaded to refurbed via flow or event procedure.
    → The invoice is sent to the customer via flow or event procedure.

Further notes on the order process:

  • In order to send items, make sure that a package number exists on the order.

  • If you want to have different serial numbers for specific items, create two separate delivery orders.

  • Even if an order is split into several delivery orders, you can only create an invoice for a complete order.

  • If a return label exists, you can find it in the Notes section of the respective order.

  • If your customer has provided a private VAT ID, you can find it in the Additional information (Name 4) field in the Addresses section of the respective order.

5.2. Workflow of a return

  • Your items are listed on refurbed.

  • Customers place an order on refurbed.

  • The order is imported in PlentyONE and already contains all data.
    Note: Orders with differential taxation are imported with a VAT rate of 0%
    Tip: You can optionally accept orders via flow or event procedure or reject them via flow or event procedure. If you don’t use a flow or event procedure, orders are accepted automatically.

  • The order is shipped.

  • The shipping confirmation must be sent to refurbed by flow or event procedure.

  • The invoice must be uploaded to refurbed via flow or event procedure.
    → The invoice is sent to the customer via flow or event procedure.

  • Customers can return the entire order or individual items.

  • The return is imported into PlentyONE.
    Note: To import returns, you must activate the toggle button Import returns in the channel settings and select an AfterShip carrier.

  • You must provide the customer with a return label or coordinate the return via email.

  • Customers send the return to you.

  • Once you have received the return, the return must be reported to refurbed by flow or event procedure.

  • The refund is initiated.

  • When the refund amount is sent to refurbed, a debit payment for the refund amount is added to the order in PlentyONE.
    Note: You can find the payment under Orders » Orders » [Open order] in the Assigned payments section. Click on the Payment ID to view the payment details. The payment contains:

    • the refunded Amount,

    • the Status,

    • the Received on date,

    • and in the Reason for payment field, the Order ID or, in the case of a partial return, the Order Item ID.

5.3. Optional: Using Refurbed Shipping (DHL Express)

You can use the shipping service provider Refurbed Shipping to ship your items. Currently, only DHL Express is supported.
Note: If you want to sell items via refurbed Switzerland, using Refurbed Shipping is mandatory. For more information, see Setting up sales to Switzerland.

Using Refurbed Shipping:

  1. Open the Sales Channels » Accounts menu.

  2. Click on the tile for refurbed.
    → The tab Channel settings opens.

  3. In the Shipping label creation section, map your PlentyONE warehouse to the corresponding refurbed delivery address.
    Note: You can obtain the refurbed delivery address from your refurbed account manager. It is required for shipping label creation.

  4. Confirm the order on refurbed.
    Tip: You can use a flow or an event procedure for this.

  5. Go to Orders » Shipping centre.

  6. Open the required order.

  7. Click Register shipment () in the top left of the toolbar.
    → The window Register shipment opens.

  8. Select Refurbed Shipping from the Shipping service provider drop-down list.

  9. Optional: Select an Order status in case of success and an Order status in case of error.

  10. Click REGISTER SHIPMENT (save).
    The shipping label and package number are automatically saved to the order. You can download the label in the Packages section of the order and then print it.

5.4. Setting up sales to Switzerland

You can also sell your items via the sales channel refurbed Switzerland. To do so, proceed as follows.

Setting up sales to Switzerland:

  1. Contact your refurbed account manager to have sales to Switzerland enabled.
    Note: The activation process includes the following steps:

    • Your account manager enables shipping via DHL Express. This is required because Refurbed Shipping must be used for shipments to Switzerland, and currently only DHL Express is supported by Refurbed Shipping.

    • The information required for customs clearance is collected.

    • You participate in an onboarding session for selling to Switzerland.

  2. Set up Refurbed Shipping by mapping a warehouse in PlentyONE to the corresponding refurbed delivery address in the channel settings.
    Important: Using Refurbed Shipping is mandatory for shipping to Switzerland.

5.5. Assigning serial numbers

You can assign an IMEI number (International Mobile Equipment Identity) (for smartphones) or a serial number (for items in any other category) to each item. This number allows you to track shipped items and identify your returns. To do so, enter the IMEI number or the serial number in the item data record and allow the item to be scanned during picking. The IMEI number or serial number is then automatically assigned to the order.

Entering serial numbers:

  1. Go to Item » Items » [Open item].
    → The data record opens.

  2. At the top in the toolbar, click More (more_vert).
    → A drop-down list with further options appears.

  3. Click Item serial numbers (123).
    → The Item serial numbers window opens.

  4. Click Add an item serial number (add).
    → The input field for the serial number opens.

  5. Enter the IMEI or serial number under Serial number.
    Note: IMEI numbers must have 15 digits.

  6. Click NEXT.
    → A summary of the input is displayed.

  7. Click CREATE SERIAL NUMBER.
    → The IMEI or serial number is saved and you can track your return.

  8. Click CLOSE.

Enable your warehouse employee to scan the serial number of the item by activating the function in the item data record.

Making it possible to scan an item:

  1. Go to Item » Items » [Open item].
    → The data record opens.

  2. Select the setting Yes for the option Serial number in the Settings section.

  3. Save (save) the settings.

To track your return by serial number, go to Orders » Orders and search the order using the Serial number filter. If the serial number filter is not displayed, you can add it in the editing mode.

Note: Whenever a return from refurbed is imported in PlentyONE, the tracking URL of the returned item will be attached as an order note, too.

6. Automating order processing

You can automatically inform refurbed about changes to the order status. Two options are available for this purpose:

  • Option 1: PlentyONE Flow (recommended)

  • Option 2: Event procedures (old method)

6.1. Option 1: PlentyONE Flow (recommended)

Create event-based flows to automatically inform refurbed about changes to the order status. The following actions are available for refurbed in the PlentyONE Flow Studio:

  • Automatically inform refurbed that the order was confirmed. (How?)

  • Automatically inform refurbed that the order was rejected. (How?)

  • Automatically inform refurbed that the order was cancelled. (How?)

  • Automatically inform refurbed that the items have been shipped. (How?)

  • Automatically upload invoices to refurbed. (How?)

  • Automatically inform refurbed that an item was refunded. (How?)

  • Mark serial numbers that have become available again due to returns and can be reused. (How?)

What is PlentyONE Flow?

With PlentyONE Flow (short: "Flow"), you can automate workflows for your business processes. Flow provides you with two functions in the Automation menu:

  • In Flow Studio, you create and configure automated workflows. Depending on the trigger type, there are three types of flows: event-based, time-based or manual.

  • In the Flow Tracker, you can monitor running or completed workflows.

The central element in both functions is the Canvas – a graphical interface on which the workflows are visualised with Actions and Controls. In Flow Studio the canvas can be edited, in Flow Tracker it is only used for visualisation and is therefore read-only.

6.1.1. Reporting order confirmation to refurbed

Create an event-based flow to automatically inform refurbed about the order confirmation.

Creating an event-based flow
  1. Go to Automation » Flow Studio.

  2. Click Create flow (add).
    → A stepper opens and guides you through the following three steps.

    1. General

      1. Enter a unique name and, if necessary, a description for the new flow.

      2. Click Next.

    2. Trigger

      1. Select Event-based as the trigger.

      2. Click Next.

    3. Settings

      1. If desired, select a UI from the optional drop-down list Flow available in.
        → The option to manually trigger the flow directly from the selected UI is added to the group functions in that UI.
        Note: UIs currently selectable: Order UI.

      2. From the drop-down list Trigger selection, select the event according to Table 5.
        Note: If the trigger event has additional settings, then these are invariably mandatory. Without performing these settings, you will not be able to save the flow.

6.1.6. Reporting refund to refurbed

Create an event-based flow to automatically inform refurbed of a refund.

Note: A refund is not carried out automatically and should therefore always be used in combination with the order cancellation flow. In case you only want to refund part of an order, this needs to be done per order item.
Note: When the refund amount is sent to refurbed, a debit payment for the refund amount is added to the order in PlentyONE.

6.1.7. Mark free serial numbers

With refurbed, you can assign a serial number to each item to track the items you’ve sent and clearly identify your returns. Create an event-based flow to mark serial numbers that have become available again due to returns and to use them again for a new item.

Creating an event-based flow
  1. Go to Automation » Flow Studio.

  2. Click Create flow (add).
    → A stepper opens and guides you through the following three steps.

    1. General

      1. Enter a unique name and, if necessary, a description for the new flow.

      2. Click Next.

    2. Trigger

      1. Select Event-based as the trigger.

      2. Click Next.

    3. Settings

      1. If desired, select a UI from the optional drop-down list Flow available in.
        → The option to manually trigger the flow directly from the selected UI is added to the group functions in that UI.
        Note: UIs currently selectable: Order UI.

Note: A refund is not carried out automatically and should therefore always be used in combination with the order cancellation event procedure. In case you only want to refund part of an order, this needs to be done per order item.
Note: When the refund amount is sent to refurbed, a debit payment for the refund amount is added to the order in PlentyONE.

7. Viewing the data log

Error reports of the export are logged in the Data » Log menu. In order to view the data log and search for specific errors, proceed as follows.

Viewing the data log:

  1. Go to Data » Log.
    → The data log overview opens.

  2. At the top, click on Filter (tune).

  3. For the Identifier filter, select the option refurbed.
    Tip: For a more detailed search, you can additionally use the Integration filter in order to search for a specific path.

  4. Click Search (search).
    → The error reports are shown according to the filter settings.
